Q&A: Venue Coordinator vs. Wedding Coordinator

This is a popular topic I come across whenever meeting couples who are inquiring of our Wedding Planning services. Many times upon meeting, they have already scouted a few venues or in some instances have already booked a venue (which is great!). We go over exactly what they need in terms of Wedding Planning and coordination services, and then because of budget or other reasons, they decide to hold off booking us because “their venue has a coordinator on site”.

I have actually seen first-hand during the week of the wedding a bride who thought the venue coordinator was going to facilitate her timeline, only to realize this was not the case at all. Fortunately she was able to work around it but many other couples don’t fare as well in the same scenario.

Simply put, a venue coordinator is exactly that. He/She is the coordinator on behalf of the venue, which usually means they are your contact person for the location and will make sure you have whatever you need from the venue for the day of your wedding. That is basically as far as their duties go.

On the other hand, a wedding coordinator (as we are) will go through your wedding day from top to bottom. They will usually compile all of the vendors you have, your venue information, the hours you have booked everyone and put it all together in a seamless timeline with no details left out. They will be your go-to on the day of the wedding and will usually help with set-up and make sure everything is where you want it and you have what you need in your hands. This is just the tip of the iceberg on what Wedding Coordinators do. If it sounds like a handful, that’s because it is! Our jobs are not easy, especially dealing with a ton of moving parts all at once. But because we love weddings and we love seeing our couples happy on one of the biggest days of their lives, it makes our job so fulfilling (at least for me it does!)
